JUST ONE, on behalf of its client, a global leader in innovative scaffolding systems, is looking for an experienced and proactive Sales Administrator to support our operations in Athens.
This role will not only ensure seamless day-to-day office management but also take charge of internal sales processes, making it ideal for someone with a keen eye for detail and strong organizational skills.
Position Summary:
The Sales Administrator will play a key role in the smooth running of Athens office, supporting the team with administrative tasks, managing office operations, and driving internal sales processes, specifically for handling orders and invoices related to our abroad operations. This is a dynamic role for someone who thrives in a fast-paced environment, can manage multiple priorities effectively, and brings experience in logistics or order processing.
Key Responsibilities:
Internal Sales and Order Management: Take ownership of the internal sales process, including preparing
accurate quotations, processing orders, and ensuring a smooth end-to-end sales cycle. Actively manage orders from Germany, collaborating with the relevant departments to oversee the inbound logistics process and ensure timely and accurate order fulfillment.
Customer & Vendor Relations: Liaise with customers and suppliers, providing professional, timely
communication and resolving inquiries efficiently. Establish strong working relationships to support internal sales and facilitate smooth interactions.
Invoice and Financial Documentation: Responsible for posting invoices, ensuring accuracy and alignment with financial policies. Collaborate with finance teams to support monthly and quarterly reporting.
Event Coordination: Organize internal and external meetings, events, and corporate functions, managing
logistics and arrangements for smooth execution.
Office Management: Oversee day-to-day office operations, including maintaining office supplies, coordinating with vendors, managing office budgets, and ensuring the office runs efficiently.
Executive Support: Provide high-level administrative support to the (executive) team, including scheduling
meetings, managing calendars, organizing travel arrangements, and preparing documents and presentations.
Communication: Serve as the primary point of contact for internal and external communications, ensuring clear communication channels across the company and quick responses to requests.
Administrative Support: Assist with basic HR tasks, such as managing employee records, tracking time-off
requests, and providing general administrative support as needed.
Data Management: Maintain office files, records, and databases, ensuring data accuracy and confidentiality.
Key Skills and Qualifications:
Experience: +3 years experience in a Sales Administrator or similar role with experience in financial or logistics preferred, ideally within the construction or industrial sector.
Education: Bachelor’s degree in business administration or a related field is preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with ERP systems (SAP HANA), experience in sales software or logistics tools is a plus.
Languages: Fluent in Greek and English, both written and verbal; knowledge of German is a plus, but not
necessary.
Organizational Skills: Strong organizational skills, with the ability to manage multiple priorities, meet deadlines, and maintain attention to detail, especially in handling sales orders and invoices.
Communication: Excellent interpersonal and communication skills, with the ability to work effectively with both internal and external stakeholders.
